What is a Trip?
A Trip is a journey abroad for the purposes of carrying out University business.
1. For employees the trip will commence from your usual place of work for the University or residence whilst working for the University whichever happens first.
2. For Students the trip will commence from and return to the University or your residence whilst studying at the University in the UK whichever happens first.
Can I travel anywhere outside the UK?
There are no country exclusions; however, you must follow the advice of the Foreign and Commonwealth Office and you should not arrange a trip to an area or region where there is a warning against all travel.
Can my business trip start from outside the UK?
A University business trip made by employees of the University and registered students can commence from anywhere in the World. The cover will cease either when you are no longer travelling for University business purposes or you return to the UK or your usual country of work/residence whichever occurs first.
Am I covered for trips within the United Kingdom?
Other than Personal Accident cover for UK supervised departmental group field trips, the policy does not provide cover for travel within the UK.
Can I visit more than one country during a period away from the UK?
You can visit more than one country, you must declare each country that you will be visiting. If you do not know the exact dates for all travel as long as you have not commenced travel for a particular portion of your trip you will be able to amend the dates when your exact travel itinerary is known.
Please note that the insurance is not an annual travel policy. The cover automatically ceases when you return to your usual place/country of work/residence or study and you must arrange separate insurance when you leave the country again.
What is the maximum travel period that would be covered under the policy?
The policy provides cover for students and employees whilst they are temporarily travelling away from the UK to carry out research and fieldwork up to a maximum of 18 months.
Employees who move to live and work overseas are not covered whilst in the country where they live and should make their own arrangements for health cover and personal insurance as appropriate.
Is my baggage and personal possessions covered?
Your baggage and personal possessions are covered whilst you are travelling on business to a limit of £3,000 per single item up to a total value of £10,000 for all your possessions.
In addition if you take any business equipment such as a laptop belonging to the University this will be covered up to a limit of £3,000 subject to it being in your personal possession whilst travelling.
Are there any age limits?
The policy provides cover for trips of any duration for persons up to the age of 75. Trips of up to 30 days made by anyone aged 75 or over for periods are also covered. Cover for longer trips made by persons aged 75 and over may be available on application and completion of a medical questionnaire.
Will the policy cover my spouse, partner or children?
Cover can be arranged for employees’ families who live with the employee in the UK when they accompany the employee on University business trips. The names of the family members and their relationship to the employee must be included in the application for cover. The policy will not provide cover for family travelling separately or staying in separate accommodation from the employee.
The University is unable to provide cover for the families of students.
Will the policy provide cover for holidays?
The policy will only provide cover for incidental personal leave in the same country as the business trip. The personal leave must be less than 50% of the total travel period or 14 days in total whichever is the lesser period. Travelling to a separate destination for the purpose of taking a holiday is not covered by the policy and personal travel insurance should be arranged.
Will the policy provide cover whilst I am on Sabbatical?
If you travel abroad to carry out University activities or research, attend a meeting or conference where you are representing the University during a period of sabbatical you are entitled to use the University travel insurance. The policy will not provide cover for overseas travel unless the reason for visiting the country is necessary to the work being undertaken for the University.
What activities are covered by the policy?
The policy only provides cover for the usual business activities of the University. Leisure and sporting activities, winter and water sports, rock climbing, paragliding, wind surfing, sailing, horse riding and other activities which increase the risk of injury are not covered by the policy and separate personal travel insurance should be arranged.
Am I covered under the policy if I travel with a pre-existing medical condition?
There are no pre-existing medical condition exclusions and the policy will cover emergency medical treatment for a pre-existing condition.
You will not be covered if your doctor has advised you not to travel and routine treatment and repeat prescription medication for an existing condition is also not covered.
Am I covered if I am pregnant?
The policy will cover pregnancy or childbirth expenses if necessitated by bodily injury following an accident or pregnancy related illness or complications that require emergency treatment. You will however not be covered if your doctor has advised you not to travel.
Are undergraduate students covered for travel under this policy?
The policy only provides cover for employees and registered graduate students travelling on University business.
Cover for undergraduates travelling as part of a supervised departmental group field trip can be arranged by the department.
Are volunteers and visitors working for Cambridge University covered for travel under this policy?
The policy can be extended to include volunteers travelling from and returning to the UK. Volunteers travelling from outside the UK cannot be covered by the policy.
Am I covered by the policy if I work for one of University's Subsidiary Companies?
With the exception of Cambridge Assessment and Cambridge University Press who arrange their own separate travel insurance; employees of all University subsidiaries can be covered.
I normally live and work outside the UK, am I covered by the travel policy?
You are not covered whilst you are in the country where you live and work. If you travel from that country on a temporary business trip the policy will provide cover.
Am I covered if I travel for work or research purpose to my home country?
You are covered for temporary business trips to your original home country, however, if you are entitled to free State or subsidised medical care you must use the facilities provided. If you are an employee and you will attain the status of Resident due to the length of stay in your original home country or any other country you will not be covered by the travel insurance policy.
Does the travel insurance provide motor insurance cover for vehicles borrowed, hired during my trip?
Travel insurance does not provide any motor insurance cover. Motor insurance is a statutory requirement and must be arranged in the country where the vehicle is hired or borrowed.
How do I obtain a travel insurance cover letter to support my Visa Application?
If you need to apply for a VISA to travel, please use the “Apply for a VISA Certificate” link on the Chubb portal. A VISA application support letter will be emailed to you to assist you with your application. This cover letter will be entitled “Travel Insurance Certificate”; however, you will still need to arrange the actual travel insurance cover when your exact travel dates are known.
Does the Policy provide adequate cover for my Visa requirements?
The policy will provide comprehensive travel insurance cover to meet VISA requirements and includes:
The deductible for the above medical and repatriation cover is nil. However, you will need to arrange additional insurance if the institution you are travelling to require you to have insurance cover for check-ups, routine medical care for pre- existing medical conditions or drug abuse as these costs are not covered by the travel policy.
